Onboarding new software: how to shorten the adjustment period

Changing business software, however objectively better the new tool, always brings a period of adjustment in which productivity can temporarily dip. How that period is handled makes the difference between successful adoption and a quiet return to old habits.

Start with one concrete use case

Rather than learning every feature at once, it is better to start with a single concrete and frequent task — creating a quote for a product you make often — and master it before expanding. That approach reduces the initial cognitive load considerably.

Real data, not test data

Trying new software with invented data produces superficial familiarity but does not prepare anyone for real use. Migrating your most recent real data — the latest customers, the best-selling products — from the outset makes learning concrete and useful.

A period of overlap between old and new

Switching abruptly from the old system to the new, with no overlap, raises the risk of errors at the most delicate moment. A short period in which both remain available, with the new one used as the default, lets you iron out difficulties before depending on it entirely.
