A professional quote PDF: what it should never be without

How a quote looks — logo, company colours, clean layout — shapes the impression of professionalism, but appearance alone does not make it a complete commercial document. A few elements, often overlooked, remove ambiguities that can turn into disputes.

Full identifying details

Company name, VAT number, registered office and, where relevant, tax code and registry number identify unambiguously who is issuing the document. Their absence looks trivial, and is often the first detail an attentive customer notices when weighing up how serious a supplier is.

Validity and terms stated openly

A clear expiry date stops a price quoted months earlier being demanded under market conditions that have since changed. Equally, payment terms set out explicitly — not left to a verbal understanding later — narrow the scope for misunderstanding when the invoice arrives.

Room for formal acceptance

A line for a signature of acceptance, with the expiry date repeated beside it, turns the quote from a simple proposal into a document you can build a formal agreement on — a detail that costs little in layout and counts for a great deal in contractual clarity.
