Roles and permissions in multi-user business software

Once a business grows beyond the one or two people using its software, the question of who can see and change what stops being theoretical. An apprentice should not be able to alter company margins; an outside sales agent should not see internal production costs.

Why undifferentiated access is a risk

Giving everyone the same level of access is the simplest thing to implement, but it exposes sensitive data — margins, costs, pricing strategy — to people who do not need it for their role. It is not only a question of trust: it is about limiting the impact of a mistake or an unauthorised login.

Typical roles in a fabrication business

An owner or commercial manager needs full visibility of margins and pricing strategy. Someone on production needs to see bills of materials and processing hours, not necessarily the final margins. An outside consultant, where involved, should have access only to what the specific task requires, for a limited period.

The benefit over time

Defining clear roles from the outset, even in a small operation, avoids having to reorganise everything in a hurry when the business grows and more people need access. It is easier to widen permissions gradually for new people than to narrow them once undifferentiated access has become settled habit.
